How to create a Worksheet including QC Samples, export it to an Instrument and import the results

There are many ways to create Worksheets, the most logical way is to do it per Batch and use Worksheet Templates to create Worksheets resembling Instrument trays that include QC Samples with one click

You must have

  • A Batch of Samples in Received state and not assigned to Worksheets already

How to Create and Use Worksheet Templates in Bika LIMS

  • An Interface for the Instrument you'll be using

Start with the Batch

Select the samples you want to include on the worksheet and click [Create Worksheet]

Let's say we want to do all the U3O8 XRF analyses on an Axios instrument for which we configured a template earlier. Select it and click [Create Worksheet]

The worksheet will be created and you will be taken to it

From here you'll be able to proceed as per standard workflow

In the best case scenario, the instrument interface is bidirectional and you can export the Worksheet to a file that can be imported on the instrument. Click [Export]

The file will be downloaded to your designated Downloads folder, preferably an instrument designated network folder. It will have a filename that starts with the Worksheet number, e.g. Worksheet-26-051-Axios XRF.csv in this example

Import the Work Sheet export of Sample IDs on the Instrument and proceed with analysis. When done export the results to a network folder where it can be picked up by the LIMS

If the LIMS is set up for the importer to monitor an instrument dedicated folder to automatically pick up new results files, use that. The LIMS will regularly scan this folder and import any new files, saving you more time.

Navigate to Imports on in the LIMS, select Import, Instrument import, Axios XRF ICP-OS, the results file and press [Submit]

You can leave the other options untouched unless you want to overwrite earlier results on Analyses in other states than Received

The LIMS will take a while processing the import, and will return a trace back of what it did. Everything in blue is fine, orange are warnings. Errors in red will be indicated

If all is ok, we can now go back to our worksheet (Refresh it if you had it open already)

The results would've been captured and you can go ahead verifying them
